MEMBER FEEDBACK QUESTION SET for the vendor-finder chatbot -------------------------------- Ask these questions after a member works with a vendor. The answers are what decide the chatbot's rankings, so keep the questions identical every time you ask them. One survey per member per vendor per event is plenty. FOR EACH VENDOR CATEGORY (catering, AV production, event venues, registration software, or your own categories): 1. Which vendors did you use for this event, in this category? (free text; one line per vendor) 2. For each vendor you named, give a 1-to-5 star rating. 1 = would warn a colleague away, 5 = would hire again without thinking. 3. Would you hire this vendor again? Yes or No. 4. In one sentence: what did the vendor do well? 5. In one sentence: what should the vendor improve? WHEN TO ASK ----------- Best: the post-event survey you already send. Add these questions right after the overall event rating, while the details are fresh. Good: your annual member survey. Ask only about vendors used in the past year. Do not ask at the point of booking. Members cannot rate a vendor they have not finished working with. WHAT YOU SHARE, AND WITH WHOM ----------------------------- Share only aggregated results. The chatbot shows a vendor's average star rating, its review count, and one member quote you have permission to use. Never share an individual member's answers, names, or ratings with a vendor or with other members. Keep raw survey responses where you keep other member data, with the same access rules. Delete the per-member rows once you have the averages and the count, or keep them under your normal survey retention policy. One rule to hold: if a vendor's ranking ever depended on anything other than member ratings, the trust line on the chatbot would be a lie. Placement is never for sale.
